Position Description

Provide customer service support to ensure clients/participants have the information they need to participate in programs and services. This position also includes providing administrative support to departments.

Responsibilities while on reception include:

  • Direct all telephone and in-person inquiries and deliveries to the appropriate person or department
  • Welcoming and greeting people entering office
  • Answer all incoming calls and direct them to the appropriate individuals
  • Book local couriers and taxis on behalf of staff and in some cases, on behalf of participants
  • Receives and directs all deliveries for CNIB and VLR and direct deliveries to appropriate location for tenants in the Winnipeg office.
  • Provide consumers with information on CNIB and VLR programs and services if no other staff person available
  • Receive and track attendee responses for events as required 
  • Receive and record monies for items collected by CNIB such as: sunglass sales, donations and philanthropy campaigns
  • Follow CNIB procedures to complete necessary tasks related to services and operations (e.g. ID card processing)
  • Prepare mail using Canada Post mail system
  • May assist with entry and maintaining of client database management system. 
  • Provide administrative and clerical support to departments within CNIB and VLR
  • Photocopying and faxing as required
  • Maintain paper stock in all photocopiers, fax machines and printers 
  • Assist with mail outs as needed (folding, stuffing, labeling, mailing)
  • Make calls to potential consumers to engage them in various campaigns
  • Assist with administrative tasks specific to Philanthropy Campaigns/Events 
  • Track and report volunteer hours as directed

Qualities, Skills and Training
  • Experience in administration an asset
  • Experience answering telephones and greeting visitors practicing a high level of customer service
  • Demonstrated computer skills and competence with standard computer tools associated with business and project management
  • Proficient user of Microsoft Office including word, outlook email and excel
  • Experience working in a database environment including pulling queries and reports
  • Superior communication and interpersonal skills, including ability to relate effectively with people at all levels, both internal and external to CNIB
  • Ability to work under pressure in a fast-paced environment
  • Ability to deal tactfully and diplomatically with difficult situations or individuals
  • Reliable, organized and able to work with minimal supervision
  • Able to manage multiple tasks and needs while still meeting deadlines and producing high-quality work
  • Orientation to organization will be provided including sighted guide training
  • Minimum 18 years old
  • Sighted Guide training provided
  • Orientation session; 1 shift
  • Job training: 1-2 shifts
