Working in a fast-paced and collaborative team environment, this position provides essential coordination, special event and administrative services to the Southwest Ontario Fund Development department. This position also provides driving and guiding assistance to the Fund Development staffs with vision loss to appointments and meetings.
The position requires coordinating, organizing, facilitating and contributing proficient administrative and special event support to build effectiveness, efficiency and quality to both the routine and dynamic operations of the department.
Essential Duties entail (but not limited to):
- Maintains Raiser's Edge database for donors to ensure data integrity and produce standardized reports and database extractions; becomes Raiser's Edge point person for team; ensures all donor information provided is accurately entered into the database following privacy legislation protocols and within standard turn-around times per program.
- Provides support for team and assists with travel arrangements for donor calls.
- Coordinates and manages general administrative duties for team including proposal preparation, mass mailings, filing, file maintenance, copying, mail/couriers, ordering of supplies, budget reports, attending meetings and taking minutes, creation of spreadsheets and power point presentations.
- Tracks and codes expenses, cheque requisitions for invoice payment, timesheets, vacation schedules and project calendars.
- Schedules, coordinates and attends internal (team) and offsite meetings.
- Researches and develops materials and statistics for use in applications, proposals or stewardship materials.
- Provides strong administrative support for major fundraising and special events which could include creating and managing RSVP and sponsorship lists, updating critical paths, event budgets, handling mail outs, database management, calling attendees or suppliers, as well as providing assistance at events as required.
- Drives staff with vision loss, provides support, and orientation at their destination.
Donor Relations Responsibilities- Supports relationships with existing and new donors and volunteers by providing exemplary customer service and fielding incoming donor inquiries.
- Provides support to team in donor management cycle including donor cultivation, solicitation and stewardship activities as required.
- Assists with the coordination and execution of all special events in the Southwest region.
- Prepares and edits donor correspondence and communications.
- Handles internal queries and communications from those impacted by program activity (Finance/Gift Admin).
Qualifications: (Education, Training, Experience)- Minimum college diploma in administration or communications/marketing or five years equivalent experience in fundraising work environment.
- Experience working with volunteers.
- Experience coordinating special events and campaigns an asset.
- Excellent driving record, drivers abstract is required.
- Superior organizational and administrative skills, attention to detail and follow-through; ability to prioritize and multi-task.
- Expert driving skills including understanding of directions.
- Excellent verbal and written communication skills.
- Well developed interpersonal skills; a team player and "people person" with the ability to also work independently.
- Able to exercise discretion and tact on sensitive and confidential situations.
- Excellent computer skills (Word, Excel, PowerPoint)
- Strong working knowledge of Raiser's Edge, including reporting functions.
- Ability to take initiative and demonstrate a flexible approach in responding to needs as they arise.
- Willingness to work flexible hours and travel within the Southwest region as required.
- This position will include occasional longer travel routes throughout the Southwest region and GTA.
Salary Range: To Commensurate Based on Experience
